Kneesworth House is a 155 bed mental health hospital situated in Hertfordshire (on the borders of Cambridgeshire) with good commuting access to / from London. The hospital has a full pathway of care including medium, low secure, locked rehabilitation and open recovery wards  situated across the site.

Our PA to Hospital Director role involves:

  • Working as PA to the Hospital Director; implement, evaluate and improve administration procedures and systems for the Hospital Director to meet business needs including the maintenance of efficient and effective filing systems to facilitate quick retrieval and confidential safekeeping of all documentation.
  • Manage all aspects of the Hospital Director`s office; dealing with matters within role parameters, re-routing mail, drafting responses and prioritising for the Director`s attention as appropriate, scheduling appointments and alerting Director to forthcoming commitments.
  • Organise significant hospital wide events on behalf of the Hospital Director.
  • Represent the Hospital Director as a liaison link with key external individuals and agencies.
  • Coordinate and manage hospital wide reviews by regulators and other external agencies.
  • Prepare for and support key meetings to ensure all participants have access to agendas, papers/reports and that actions agreed at the meeting are followed up and delivered:
  1. Senior Management Team
  2. Finance
  3. Workforce
  4. Your Say Forums
  • Undertake project work set by the Director, including research, collation and analysis of information and the production of reports and presentation material.
  • Ensure all necessary documentation is prepared in advance of the Director`s appointments and meetings, including managing a \"bring forward\" system.
  • Liaise with the PA to the Regional Executive Director to coordinate the monthly payroll reporting for the hospital.
  • Maintain Senior Management Team Personnel Files in accordance with PiC Kneesworth House Hospital Human Resources procedures.
  • Manage the administration of the Senior Management Team Annual Leave and Sickness Absence and lieu time for any weekend work, keeping the Director informed.
  • Organise and maintain Senior Management Team performance appraisal schedules.
  • Establish and maintain productive working relationships with colleagues and contacts external to the organisation.

To be successful as a PA to Hospital Director you`ll need:

  • Excellent literacy and numeracy skills
  • Experience of administration / similar role
  • Advanced use of Excel and Word essential
  • Good minute taking skills
  • Demonstrable experience of dealing with a diverse workload
  • Proven experience of improving and maintaining processes to enable information to be captured accurately
  • Proven experience of team and project management
  • Experience of interpreting information, including financial information and statistics.
  • Good knowledge of Excel, Word, and Outlook
  • Excellent organisational skills
  • Excellent telephone manner
  • Ability to communicate at all levels using good communication skills
  • Ability to work to deadline
