Knightsbridge House is a nine bed hospital in Fareham which provides assessment and treatment in an open rehabilitation setting for men with a learning disability and complex mental health needs.

Carard Cottage, within the main grounds, is a four bed detached house providing step-down accommodation for residents who are ready for greater independence and to put their skills for living into practice before they are discharged into community settings. 

About the role:

  • The role supports the Regional MHA Manager for all statutory administrative duties relating to the Mental Health Act 1983 for Nelson House Hospital.
  • To provide full administrative and secretarial support to the Consultant Psychiatrist
  • To comply with the guidelines laid down regarding confidentiality at all times with information relating to service users, staff and hospital business

Mental Health Act

  • Supporting the Regional MHA Manager to ensure that the requirements, the law and best practice are adhered to
  • To assist in maintaining database systems and communication systems in relation to the Mental Health Act 1983
  • To assist with all statutory administrative duties relating to the Mental Health Act 1983, including organising Mental Health Review Tribunals, Manager`s meetings and Care Quality Commission visits
  • To assist with the management of the business pertaining from the Independent Hospital Managers
  • To liaise with Second Opinion Approved Doctors regarding visits and access to patient records
  • Liaise with solicitors representing patients at hearing including access to patient records
  • Ensuring that the `legal` section of the patient electronic record system is maintained and up to date
  • Keeping an up to date hearing schedule and informing MDT of all necessary dates
  • Liaise and where required meet with patients to discuss their MHA needs
  • To ensure all legally required paperwork is stored and maintained effectively in lines with regulatory requirements

Medical Secretary

  • To maintain and regular the Consultant`s diary, liaising with the Hospital Directors PA; members of the multi-disciplinary team (MDT); patients and external agencies
  • Prepare and attend relevant meetings, taking notes and monitor follow up actions
  • Ensure that all correct and relevant information is available prior to meetings and in line with company quality targets
  • To maintain and ensure all documents and reports are uploaded into the patient electronic record as required
  • To act as point of contact for care co-ordinators and commissioners
  • Co-ordinating patient CPA reviews and Care and Treatment Reviews; commissioners reviews and supplying requested information prior to reviews, including liaising with the MDT to compile reports
  • Organising and keeping an up to date Individual Care Review timetable for the consultant and MDT
  • To prepare letters and reports
  • To deal with correspondence effectively and at appropriate level
  • To take the lead for Information Governance for the Unit

General

  • General Office Duties including cover for reception and switchboard as and when required
  • Be able to work to tight deadlines and managing workload by prioritising work accordingly
  • Respect confidentiality of both service users, the business and colleagues
  • Undertake other duties and training as required that are commensurate with the post`s level of responsibility
  • To take personal responsibility for ensuring the work practices and the environment meet the requirements of the Health and Safety at Work legislation and report all deficits to your Line Manager
  • Participate in supervision and appraisal process
  • Maintain mandatory and professional development requirements
  • To have the ability to demonstrate an understanding of and commitment to equal opportunities in service delivery and employment and training
  • To occasionally attend the wards including service user contact
