Mildmay Oaks is a low secure and locked rehabilitation service for men with learning disability and autism spectrum disorder, and for women with learning disability.
The role:
- Provides efficient and effective secretarial support to an individual or a department, including typing, telephone enquiries, diary management, meeting and greeting visitors and other administrative tasks as appropriate.
- Recognises the level of importance of particular enquiries, issues or callers and applies the appropriate prioritisation to ensure the highest level of service.
- Ensures that all documentation is correctly filed, in order that financial, regulatory and other auditors can be satisfied via the efficient recovery of key documents of initial entry.
- Handles all external and internal enquiries relating to the individual or department, directing queries as appropriate.
- Ensure that meeting dates are planned ahead, diarised accordingly, and that invites are sent to external parties.
- Ensure that all MDT staff are aware of meeting dates and that reports are collated and submitted according to the requested timescales
- Ensure that reports are shared with all stakeholders within agreed timescales
- Ensure that accurate minutes and actions are taken during a meeting, and that once agreed upon by the clinical team, are available for external circulation according to the agreed timescales.
- Communicate with internal/external professionals by telephone, e-mail or face-to-face, at all times ensuring confidentiality is paramount and in line with local information security policies, Caldicott measures, Data Protection and Freedom of Information Acts.
- Take messages and action as appropriate, recording any necessary information as required and ensuring effective communication to all relevant parties.
- Ensure meeting rooms are prepared for meetings and any special assistance required for visitors is facilitated
- Liaising with Commissioners and Care Managers by telephone, e-mail or face-to-face, at all times ensuring confidentiality is paramount and in line with local information security policies, Caldicott measures, Data Protection and Freedom of Information Acts.
- Ensuring that correct security procedures are maintained and adhering to Health & Safety policies and procedures at all times.
- Provide reception cover in the absence of a receptionist.
- Taking copies of various documents as and when required, collating and photocopying of reports where necessary
