As a privately owned property management company, our client is now looking to expand their team and recruit an Estate Supervisor to effectively maintain the internal and external communal areas and manage relations with homeowners and staff within a prestigious estate in Bath.

The Estate Supervisor will have ongoing liaison with the leaseholders and owners, and also ensure the security of the residents and the Estate as a whole. You will make sure that all service contract staff remain highly motivated and that their work is of the required standard.

Applications from ex-military personnel (Royal Air Force, Royal Navy, British Army, and Royal Marines) are strongly encouraged.

Main Duties and Responsibilities:

  • To carry out building checks at regular intervals with particular emphasis on fire risk, Health & Safety and staff management.
  • To arrange induction training of new staff on all procedures and to train staff to ensure that they are familiar with relevant procedures and that these are adhered to at all times.
  • Remain courteous and helpful to all occupiers as well as to members of the public, staff, guests and contractors.
  • To carry out small maintenance tasks that may be required to the communal areas and assist with the waste management duties at the development.
  • To monitor and review all logs and systems of record keeping.
  • To deal with administrative matters relating to any of the buildings.  To work closely in co-operation with the Property Manager, keeping them informed of events and issues, which affect the buildings.  To provide written reports to the Property Manager as and when required.
  • To report back to the Property Manager at the end of every shift outlining any issues that occurred in relation to staff or the Buildings.
  • To ensure that all staff are trained to a sufficient standard in order that they may carry out their duties effectively, efficiently and safely.
  • To assist the managing agent in the development and implementation of new or revised procedures, as required.
  • To be responsible for all matters of a Health and Safety nature relating to the buildings.  This includes assessing training needs, maintenance of log books, accident reporting procedures, compliance with COSHH regulations and contractor permit to work procedures. To keep up to date with current and new Health and Safety legislation.
  • To carry out regular building checks during the working day, to ensure the estate staff are carrying out their duties in the correct manner and liaise with staff to instigate corrective measures or procedures.
  • To maintain records of central stores for the building in a well organised way, ensuring that the appropriate quantities of materials are maintained at all times.
  • To ensure that all contractors service books and health and safety logs are kept up to date.
  • To monitor the river moorings and report back to the Property Manager if boats are overstaying.
  • To liaise with the parking patrol company and report vehicles which are illegally parked on the Estate and in the underground carparks.
  • You will be expected to be flexible and undertake reasonable additional duties as required by the managing agent. To communicate in a timely manner, effectively and professionally with residents, resident associations, contractors` visitors and the Property Manager.
  • To maintain a high level of professionalism and continually deliver service to exceed client satisfaction levels.
  • To act in accordance with all Health & Safety and hygiene regulations and to adhere to the Managing Agent`s Health & Safety policy.
  • To comply with and act in accordance with all Company fire regulations and to adhere to the Managing Agent`s fire policy.
  • To ensure the building`s procedures are continually updated to ensure adequate cover can be given in your absence.
  • To arrange cover for any holiday or sickness as necessary.

Knowledge and skills required:

  • Excellent Microsoft Office skills, particularly Outlook, Word, Excel
  • Numeracy skills working across a wide range of data
  • Excellent oral and written communication skills
  • Experience of writing and producing reports
  • Proven customer service experience
  • Able to demonstrate sound decision making and problem solving skills
  • Experience of managing and motivating staff effectively
  • Experience of working with and managing contractors on a day-to-day basis
  • Proven experien
